Six steps to Processing new books

  The new books are rolling in . What do you have to do to get them ready for the shelves?? In case you have them come processed, there are still a few things  you need to do before you put them on display or on the shelves.
  1. Property Stamp
  2. Gentrify- If your fiction are arranged this way-We use opaque colored labels to go over the spine label. We also change the spine label in Destiny so it signified where the book is located.
  3. Cover the books if needed.
  4. attach labels if not complete
  5. Load mar records intro your system if not completed,
  6. Adjust records in your system: price, vendor, funding
  Display them in a new book section!!

Supplies for Book Processing - part 2

  We don't have all of the necessary items yet for book processing. So in another larger box, we have several sizes of our most used book covers. We also have contact paper for our paper  backs- its not regular contact paper but one we get from the supply company especially for covering paper backs.( I can;t right at this moment think what it is called,)
  Both of these boxes are put on the bottom shelf of a flat shelved book cart that we keep specifically for this process. Then when  a shipment comes in , the books are checked in and put on the top shelf.
  This way we can wheel out the cart when we have time to work on the new books. It can be tucked away  when we are busy, This helps us be efficient and have supplies ready when we need them.

Supplies for Book Processing- part one

    Get ready for processing your new books! Do  you have everything  you need?  Do you know where your processing supplies are ? Are they in on spot or do you have to go from cabinet to cabinet  to get them?  Or do they happen to be all in one location?
   A couple of years ago , I worked on getting  all of my processing supplies in the same location ( or at least close to each other) , so that processing  supplies would be together. Then my assistant or I would not have to hunt out the things we needed.
  We gathered up barcaroles, property stamp, label protectors  and genres colors into one large box- The barcodes are in a folder. Also in this box we included tape, scissors, fine line makers , a ruler and posts it, pens and pencils.  Later this week- part 2. Check out The Organized Librarian for more ways to be organized. 'Tidying Up' the School Library- SLJ

     I am finally catching up on my reading- yes this year I am Way Way  behind!!   I actually did this quite a few years ago when my school and library were being renovated from a Middle school to an Elementary school. In my office We shoved every thing( supplies) willy nilly  into boxes when we were packing! When we got into the renovated space and it was the beginning of the year, we just shoved the boxes into brand new cabinets. ( It was a big office with even a bathroom!)
   But then of course , I did not know where anything was! So I dumped boxes into the center of the room and began to organized everything!  And put supplies away, And mark the cabinets,  And labeled every drawer, and cabinet  so I knew where everything was and how much I had! And I did make a map so that I could glance at the map to help me find what I was looking for!

The Button War- Book Review

 Set during WWI , in a Polish village,is where the boys Button War starts. Seven boys who hang out together agree that the guy with the best button will be the Button King.
  The competition is fierce. Jurek  decides He will be the king, just because he thinks he is the best. Patryk and the others don't want him to win. Most of the them don't like the idea , but they don't want Jurek  to be the king, he is a bit of a bully.
  So they steal buttons form the soldiers wash line, and then begin  cutting them off dead bodies of the soldiers as the fight between the Germans and the Russians escalates.
  Jurek will do anything to be the Button King. The game becomes more and more dangerous. Patryk keeps on with the challenge  because he doesn't want Jurek to win, the others agree. The war torn village loses families to death and those so scared they leave. And still Jurek will not give up.

New Circulation Desk!

     At the middle school library, we finally have a real circulation desk! We have been trying to get one for  9 years!  My Dept chair had asked for one for 6 years and  I asked for one for two years.. She had it all priced out , and it would have only been $2,500.00 the first year. But it never happened.
    BUT since the elementary school libraries were getting all redone and NEW furniture we got the "old" circulation desk,( which is probably maybe 10 years old).
    So here it is!  I am so excited!! Keep in mind , these are  just put in - need to fix up and put posters up , so I will show a really after picture soon!

Organizing your day at the library- Your Desk

     One way to keep yourself organized and help maintain your focus at your desk is a wire step file. Label several folders  like this: Do, Announcements, staff list, read , file , hold, and monthly report.These are what I have and am planning for the new school year. These are folders I refer to on a daily basis.  Customize what you put on your folders depending on your needs throughout the year.
   
    Other files are kept in one of my other filing areas ( more on that later) . These are items I do not need on a daily/ weekly basis. At the end of the day, each piece of paper ( or printed email if I deem necessary) are placed in one of these folders if I think it is necessary. Otherwise , I 'file' anything I don't need in the wastebasket.

    Each day I take my Do File to work on items  that need action. I usually only have two tasks in there at a time,with notes to myself as needed. Any other pending tasks next on list I put in "hold" file.

    This helps keep me organized  and focused. It keeps my desk neat and I can accomplish what I need to without clutter.

Making things Easier- Technology logging off

  When I am working on a project that requires a lot of computer time , I take frequent log off breaks. If I am working on a large project ( whether  I am  on the computer or using a computer print out) , I work in several eye and exercise breaks.
  When I am doing reports , inventory, searching for websites and activities for teachers ( Just to name a few) I plan on several breaks.   This is important especially if I am about to have long stretches of time on one project.
  I log off ( or just close down)  and gt up out of my seat. Then I do something to rest my eyes and stretch my lets. I grab a drink, do some easy stretches or walks around the library to shelve or straighten some books.
  I do a 5 or 10 minute break. This gives me some time to re energize and be more  focused for accomplishing  the task at hand.

Stay on target- make your day easier!

Stay on Target- 
    When you are working on an activity or task, stay focused and keep your mind on the goal of finishing your task. You could use an app on your phone to track your time  if you are a big techie . ( these you start a timer when you begin and it tells you how long the task took).
    I don't use theses- I just try to stay focused and keep working .When I start a task, I try to keep working until I get to the stopping point.( either the end of the project or the end of my allotted time for the task.
   I also plan on doing something totally different or taking a bathroom break or grabbing a coffee or tea when I complete the task. I also can just take a few moments to stretch my legs, move around , or just do something to signal I am done.
  Since I am at school , most times I work on a bell to bell schedule. I try to beat the bell . Sometines I batch my tasks and get many small tasks done in one time period. ( See The Organized Librarian- very soon it will be out in print edition- watch for the announcement)  That's how I stay on target and get things done!

Save time on your email

    Reading and replying to email messages can waste tons of time each day.  There are several tips that I have found work well for me.  I have specific times each day that I check  and respond to emails ( even on Slummer Vacation!!) 

    Once I have looked at an email I figure our first-should I read it? If is is important enough to be read  then  I figure out  the next 6 items.

1) Do- I reply if I can do so in 3 minutes or less.

2) Delay- move to a folder on my email to follow up later.

3) Delegate- I forward it to someone who can  act on it or who really needs to see it.( I do this for staff when I find info that staff might use)

4)Place in folder- this is for items that I need to keep to refer to- something from the District Office , or administration , or my Dept Chair.

5&6) My favorite s: delete it right away, or unsubscribe from the email . This gets rid of the stuff you do not want or need.

  As I have slowly adopted these  strategies, I am not a slave to my emails and not overwhelmed by having to many in my mailbox.

Multi-tasking- not always the best choice


     Many teachers and workers boast about doing two or more things at once. But sometimes multi-tasking is really inefficient. It destroys the focus needed to complete tasks quickly and completely. Multi- tasking may cause us to not the task as well as we could. (or ask quickly)
     When your focus is on one job, then you can zero in on the task and get it done in an effective time period. The job/ task will be done with more competence. Then you can move on to the next task at hand.

      So it is good to know what types of tasks should not be done with others. Most important tasks require concentration, and focus.  Routine items are okay to be multi-tasked.  Determine for yourself what jobs  are to be single focus items.

Getting More Done


   There are several rules of organizing your day to get more accomplished. I read everything I can on organizing in hopes of reducing the stress of having much to do in a short amount of time. Organizing my time seems to help the most. Through my reading, I have found some things that work for me and may also work for you.

   Step 1:   Keep a running record/ master list of items you need to do. Put anything you can think of that needs doing on your master list. That way it is written down and you don’t have to worry about forgetting something.  I am sure there is an app or an online way to this but I still like to use pencil and paper. If you find a good way to do this online, go for it, if that works for you.

  Step 2: Build your daily to do list. Take items from the master list and put them on your daily list. But only write those tasks that you can realistically do in one day. So don’t overload yourself. Give yourself some leeway if you have scheduled items, or if you find that some tasks might take longer than expected.

    Then at the end of each day (or at the very beginning) take 15 minutes to map out your priorities to see what your daily schedule will look like.

How The Organized Librarian originated

   How did I begin thinking of and writing about The Organized Librarian?  I started as I briefly outlined ib my book (The Organized Librarian) When I was several years into my job as an elementary librarian at the elementary level. AT the time I was” dancing as fast as I could” and very frustrating. I had 700 students, a large library, and a huge collection. My help (library assistants) was came and went for each change of period. Sometimes I had no help, and the library schedule was just overwhelming!

  So I took a deep breath and began to organize my work spaces.  I started with my back room because that was the worst!  Then I did my circulation area. Finally I worked on organizing my curriculum / lessons.  And I began writing every down, and keeping track of what I was doing, and what I needed to do. When that was finished, I wrote the book and compiled all that I had done. After that I started my blog.

Daily Routine at the Library

    Take a few minutes each day ( or right before you go home) to help you be more organized and get more accomplished each day. Look at your master list of to do's  and your daily planner or plan book. 
    Write in /Schedule the tasks  you plan to accomplish. Tackle the harder / most unpleasant/ most pressing items first on your schedule.  This is when  your brain is most likely the sharpest and your have a strong desire to get tasks done.
     Schedule less pressing items or routines items throughout the day.  Another good time to get items accomplished is right after lunch. After you have a break, eaten your lunch away from your desk, you are Likely to be able to refocus to complete what is in your plan book. 

   Check your planner / to do list throughout the day. Cross or check off items as they are completed . It will be encouraging to cross off items and see at the end of the day what has been done to further your goals at work.

Larger Goals / projects to be completed


   When you are doing all the routine tasks and activities you may feel like you are treading water. When you have a big project, it might seem like you will never get it accomplished.
   Plan a time when you have some flexibility, and put in your planner that you will work on that project. What I do is to break larger projects down into manageable steps/ tasks. In other words, plan on working on a segment of the project at least once each week (more if you have open blocks of time).  Make yourself a deadline of when you need the project complete.  Look at the ways you can accomplish it through a series of steps or tasks.

  Check off each segment as you complete it each week. Work diligently until your project is complete.

Organize your day- Map out a schedule


    After you have your master list written for the week or day, and prioritized you jobs/ tasks. A good step would be to maps out when you will complete your items.
    All Commitments, / appointments. / Scheduled classes   should be put first into your plan book or daily planner at the time specified,
   Then you can incorporate from your master to do list. Look at the most important items (marked with an A) and then B items. Write these tasks / activities in available time slots. But do not pack in more to dos than you can realistically get finished.
    Also allow 30 minutes in your daily schedule every day so you have a little flexibility in case things don’t go as planned.

    Also leave yourself time at the end of the day to work on the next few days schedule.

How to use your Weekly/ Daily Master List

  Do you keep a weekly  or daily master list of to do items / jobs for you library work life? Do you prioritize your tasks? This is the first step in being organized ad getting items accomplished.   Once your list is in place ( I do a daily - either in the morning or right before I leave school)  

  Then I prioritize  each item. Elimination of items that are not worth the time are  the ones I struggle with . I use a D to delegate the tasks I can give to my assistant - depending on the task - some times I can get some students to help.

  My most important items I mark with an A- ( must do as soon as possible)  and B ( ( should do but no serious consequences if ti doesn't get done right away.) 

 If you do this on a regular basis , you can begin to gt ta flow of tasks competed in the most efficient manner, Determine what is most important   and do the items  that are on your list first

New School Year!

 Tomorrow is our first day- conference day  with staff. It will be an interesting year. Our assistant superintendent retired the end of June and we have a new  young  assistant superintend  Our superintendent retired in the middle of the summer  so now we have an intern . So we will see how that goes.
  My principal is away til next week,so I guess our Assistant Principal will be in charge for tomorrow. I am hoping to get into the Library. I did go the other day and went through the mail and put as much as I could back in place from the cleaning over the summer.

  The first thing I will do is send emails regarding library orientation and possible  research help.
